Club Stride Inc. respects the privacy of individuals who contribute reflections, stories, memories, observations, and related information through GEN250.
GEN250 is a regional civic memory and historical preservation project created to collect reflections from people connected to Solano County. These reflections may help preserve this chapter in the region’s civic history and support future archive materials, exhibits, reports, presentations, and public storytelling efforts.
This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices contributors have regarding their submissions.
1. Information We Collect
GEN250 may collect the following information from contributors:

City or community connected to the reflection

Connection to Solano County, such as living, working, studying, serving, growing up, or having family/community ties in the region

Written reflections, stories, memories, hopes, concerns, observations, or civic experiences submitted through the GEN250 form

Optional demographic or background information, if included in a future GEN250 collection form

Date and time of submission

Technical information automatically collected by the form, website, or platform used to submit the reflection, such as basic analytics or device/browser information
Contributors should avoid submitting highly sensitive personal information, including Social Security numbers, financial account information, medical records, private addresses, or information about another person that they do not have permission to share.
2. How We Use the Information
Information collected through GEN250 may be used to:

Identify community themes, patterns, and recurring civic concerns

Support GEN250 archive development and historical preservation efforts

Create reports, summaries, presentations, exhibits, event materials, educational materials, or public storytelling projects

Contact contributors for clarification, follow-up, verification, or additional permission, if contact information is provided

Share selected reflections publicly only according to the contributor’s permission selections

Support internal project administration, recordkeeping, evaluation, and reporting
GEN250 will not sell contributor information.
3. Public Sharing and Permission
Contributors may be asked to choose whether their reflection may be:

Preserved as part of the GEN250 civic memory record

Shared publicly with their name

Shared publicly without their name

Preserved only and not shared publicly

Used only after additional contact or permission
Club Stride will make reasonable efforts to honor the permission selections provided by each contributor.
If a contributor gives permission for public sharing, their reflection, or a portion of it, may appear in GEN250-related social media posts, event materials, exhibits, reports, presentations, websites, archive displays, or other public storytelling materials.
If a contributor does not give permission for public sharing, Club Stride may still preserve the reflection internally or as part of the project record, depending on the permission selected.
4. Historical and Archival Use
GEN250 is designed for civic memory and historical preservation. This means that some submitted reflections may be retained for long-term archive-related purposes.
Submitted reflections may help future audiences, researchers, youth, community members, educators, or institutional partners better understand how people connected to Solano County experienced, remembered, questioned, and imagined this period in the region’s history.
Club Stride may work with archive, museum, educational, civic, or preservation partners to support the long-term care, organization, display, or interpretation of GEN250 materials. When materials are shared with partners, Club Stride will seek to do so consistent with contributor permissions and the purpose of GEN250.
5. Youth Submissions
GEN250 values youth voice and may invite young people to contribute reflections.
If a contributor is under 18, Club Stride may request parent, guardian, school, program, or organizational consent when appropriate or required.
If a contributor is under 13, Club Stride will not knowingly collect personal information online from that child without appropriate parent or guardian consent. If Club Stride learns that it has collected personal information from a child under 13 without required consent, Club Stride will take steps to delete or limit use of that information.
Parents or guardians who believe a child has submitted personal information without appropriate consent may contact Club Stride using the contact information below.
6. How We Store and Protect Information
Club Stride will take reasonable steps to protect GEN250 submissions from unauthorized access, loss, misuse, or disclosure.
Information may be stored using secure digital tools such as online forms, spreadsheets, cloud storage, project management systems, archive systems, or other platforms used by Club Stride or its authorized project team.
Access to GEN250 submissions will be limited to Club Stride staff, authorized contractors, volunteers, interns, project partners, or archive/preservation partners who need access for legitimate GEN250 purposes.
No method of digital storage or transmission is completely secure. Club Stride cannot guarantee absolute security, but it will take reasonable steps to protect the information it collects.
7. Third-Party Platforms
GEN250 submissions may be collected through third-party platforms, such as website forms, Google Forms, Meta lead forms, Linktree, email, or other digital tools.
These platforms may collect information according to their own privacy policies and terms. Contributors are encouraged to review the privacy policies of any third-party platforms they use to submit information.
8. How Long We Keep Information
Because GEN250 is a civic memory and historical preservation project, submitted reflections and related permission records may be kept for long-term preservation, archive, reporting, or project documentation purposes.
Contact information may be retained as long as needed for follow-up, verification, permission tracking, archive management, or project administration, unless a contributor requests deletion and deletion is appropriate based on the nature of the record and prior permissions.
9. Contributor Choices
Contributors may contact Club Stride to request:

A copy of their submitted reflection

A correction to their submission

A change to their public sharing permission

Removal of their name from public-facing materials

Deletion of contact information, where feasible

Withdrawal of a submission from future public use, where feasible
Club Stride will make reasonable efforts to respond to these requests. Some materials may not be fully removable if they have already been printed, publicly displayed, archived, published, or incorporated into completed reports, exhibits, or materials.
10. No Sale of Personal Information
Club Stride does not sell personal information collected through GEN250.
Club Stride does not collect GEN250 reflections for commercial sale, advertising resale, or unrelated marketing purposes.
11. Changes to This Privacy Policy
Club Stride may update this Privacy Policy from time to time. Any changes will be posted on the GEN250 landing page or other appropriate project location with an updated effective date.
